Minimum Qualifications
One year of experience preferably in medical practice or clinical setting. High School diploma or equivalent. Completion of a Medical Office Professional program or equivalent preferred. Excellent customer skills are essential. Knowledge of physician office procedures, medical terminology, grammar and spelling. Working knowledge of office equipment such as copiers, fax machines, telephones and computers. Ability to sort and file materials by alphabetic and numeric systems. Ability to speak clearly and communicate effectively and to read, understand and follow written and verbal instructions. Ability to record messages and patient data accurately.
Primary Duties
Perform administrative and clinical activities associated with patient office visits. Greet and check in patients, verify and update insurance information and provide patient with any necessary information. Assist patients with ambulatory difficulties. Screen visitors, verify appointments, respond to inquiries and direct them to the appropriate area. Interview new patients, record information required for registration and create and enter the information in a computer account. Answer telephone calls, take messages, respond to inquiries and transfer calls as appropriate. Respond to emergency calls per established procedures. Schedule, coordinate and re-schedule patient appointments via computerized scheduler. Relay updates to staff and maintain and update physician’s schedules. Total charges, collect payments, and issue receipts to the patient and schedule future appointments as applicable. Balance cash payments and cash on hand per the cash control procedure at end of shift. Answer questions regarding patient appointments, testing, accounts and charges or refer to appropriate staff. Instruct patients on preparation for office visits, special procedures and insurance requirements. Obtain insurance referrals or financial waiver documentation, as required. Prepare and mail new patient information packets and other office related correspondence. Ensure reminder telephone calls were made through the automated system and make follow-up calls as necessary. Ensure call forwarding to/from answering service daily. Distribute various forms to patients such as test results, prescriptions, etc.
